Small IT projects for NYC nonprofits

A nonprofit does not have to replace all of its technology to make one frustrating process work better. A focused IT project can start with a shared mailbox, a staff onboarding checklist, a website inquiry form or the handoff between a spreadsheet and an existing business system. The useful question is not “How much can we automate?” It is “Which small improvement can our team understand, operate and verify?”

For organizations in Queens, Manhattan, Brooklyn and the Bronx, this approach creates a practical starting point for a scoped consulting engagement. It also makes it easier to explain what a limited technology budget will purchase. Choose one workflow with a clear owner

Write down the task, the people involved and what currently causes delays. For example: a website request reaches a shared mailbox, a staff member reviews it, and an approved summary is assigned to the right person. Identify who owns the mailbox and who confirms that a request has been handled.

Keep the first version narrow. Routing a request for human review is different from letting an AI decide whether someone qualifies for a service. Begin with low-risk administrative work, and retain human judgment where decisions affect people.

Agree on the deliverable before changing systems

A useful small-project scope names the system being changed, the number of accounts or workflows included, the acceptance test and the handover material. It also states what is excluded.

For example, an account-access review might deliver a current account list, a list of owners, a set of agreed changes and a staff handover checklist. It should not silently expand into a complete migration or a promise to secure every device in the organization.

Protect access and use non-sensitive test information

Use named accounts where possible, give each person only the access needed, and establish who controls recovery options. Do not put client records, passwords or sensitive service information into an initial website inquiry. Explain the problem in general terms first. Agree on an appropriate access and data-handling process before work begins, and use clearly labeled synthetic information when testing a new workflow.

Make the handover part of the work

Before closing a project, ask: can the person responsible demonstrate the workflow, find the saved records and understand what to do when something fails? Keep a short operating guide, name an owner and decide how future changes will be approved.

For an inquiry workflow, an acceptance test might be: submit a labeled test, locate the saved request, confirm receipt by the assigned person, and retry without creating a duplicate. Record the result without treating a successful technical test as proof of financial savings or broader organizational impact.
